When you use RemindNudge, we may collect personal information such as your name, email address, and billing details. We also collect the data you provide regarding your clients and their invoices to facilitate our automated follow-up services. Additionally, when you upload invoice documents (PDF format) to extract billing details, we store these files to enable our automated reminder service, including attaching them to reminder emails sent to your clients on your behalf.

2. How We Use Your Information

We use the collected information to operate, maintain, and improve our services. Specifically, we use your client data exclusively to send automated invoice reminders on your behalf. We do not sell or share your or your clients' personal information with third parties for their marketing purposes. Uploaded invoice PDF files are used solely to (1) extract billing information via client-side parsing to help you populate invoice details, and (2) attach the original document to automated reminder emails sent to your clients. We do not use uploaded files for any other purpose.

3. Client and Third-Party Information

In order to provide our automated invoice reminder services, you may submit personal information about your clients, including their names and email addresses ("Client Data"). You represent and warrant that you have the legal right to share this Client Data with us for the purpose of using the Service.

We process Client Data solely to deliver invoice reminders on your behalf and for no other purpose. We do not use Client Data for our own marketing purposes, and we do not sell Client Data to any third party. If a client contacts us directly regarding the processing of their information, we will direct them to reach out to you, as you are the party responsible for the collection and submission of their data.

4. Data Security

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. However, no internet-based service can be 100% secure, and we cannot guarantee absolute security. Uploaded files are stored in access-controlled storage where only you can access your own files. We restrict uploads to PDF format and enforce a file size limit to reduce security risks associated with file uploads.

5. Third-Party Service Providers

We share your information and Client Data with trusted third-party service providers who help us operate the Service, including but not limited to cloud hosting providers, database providers, and email delivery services. These providers are only permitted to process your information as necessary to provide their services to us, and are contractually or otherwise obligated to maintain the confidentiality and security of your information.

6. International Data Transfers

Because our service providers may operate servers located in countries other than your own, your information (including Client Data) may be transferred to, stored, and processed in a country different from where you or your clients are located. By using the Service, you consent to this transfer, storage, and processing.

7. Data Retention

We retain your personal information and Client Data for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize your information within a reasonable period, except where we are required to retain certain information for legal, tax, or accounting purposes. Uploaded invoice PDF files are retained for as long as the associated invoice record exists in your account, or until you delete the invoice or your account, at which point the file will be deleted within a reasonable period, except where retention is required for legal, tax, or accounting purposes.

8. Your Rights

Depending on your location, you may have the right to access, correct, delete, or export the personal information we hold about you. 9. Cookies and Tracking Technologies

We may use cookies and similar tracking technologies to operate the Service and, where applicable, to support advertising features. You can control or disable cookies through your browser settings, though doing so may affect certain features of the Service.
